A proprietary infrastructure to manage every stage of an event
Behind a simple booking experience lies a sophisticated technological architecture.
Purelab designed and developed a proprietary end-to-end event management platform for Touring Club Italiano, built around the organisation’s actual processes and designed to manage the entire journey within a single ecosystem: from event configuration and booking to digital ticketing and access control.
The solution was developed with a modular architecture, separating the different application components to facilitate maintenance, scalability and continuous evolution over time.
At the heart of the platform is the administrative back office, through which the Touring team can create, edit, duplicate and publish events, configuring content, images, locations, dates, times and availability. For each event, specific time slots and capacities can be defined, along with the maximum number of participants per booking and the opening and closing dates for registrations. The system automatically updates availability and stops accepting bookings once the maximum capacity has been reached.
This is complemented by a configurable registration engine. Each event may require different information, so the team can determine which data to collect, which fields are mandatory and whether information should be collected for every participant included in a single booking. Users, meanwhile, can complete the process without having to create an account beforehand, reducing steps and potential friction.
The platform also manages contributions and online payments, allowing minimum or suggested amounts to be configured and integrating with external payment gateways. Behind the checkout process, payment confirmations, outcomes, errors or interruptions are automatically managed, along with booking status updates. The architecture also checks availability both at the beginning and at the end of the process, preventing multiple users from simultaneously booking the last remaining places.
From booking to admission: one seamless digital flow
The journey does not end with the confirmation.
Each completed booking is associated with a digital ticket featuring a unique code and QR Code, which can be used to quickly verify admission during the event. The system checks the status of each ticket and allows it to be validated only once, reducing manual operations and making access management more efficient.
The relationship with participants is also managed within the same ecosystem. The platform automates the main event-related communications, from registration and payment confirmations to reminders before the event. The back office also allows the team to communicate directly with participants registered for a specific event in the event of changes, updates or organisational requirements.
For the Touring team, all of this translates into a centralised and constantly updated overview of event performance. Dashboards and reporting tools make it possible to monitor registrations, total capacity, booked and remaining places, as well as key operational KPIs. Event and booking data can also be exported to support subsequent management and reporting activities.
A platform built for Touring, not a service to adapt to
Developing a proprietary solution made it possible to move beyond the typical logic of standard ticketing platforms.
Instead of adapting Touring Club Italiano’s processes to the features and limitations of an external service, we built the technology around the organisation’s needs: from the information required for each event to donation management, from time slots and communications to access workflows.
The long-term cost model is also different. Standard SaaS ticketing platforms may apply commissions or variable fees based on transactions, tickets or usage volumes. In this project, platform development represents an initial investment in implementing a custom solution, rather than an application cost that automatically increases according to the number of admissions managed.
This makes scalability particularly significant: as the number of events and bookings increases, Touring has an infrastructure designed to support that growth without linking the platform’s cost to the success of each individual initiative.
Technology designed to evolve
From the outset, the architecture was designed not to become a closed system.
The separation between backend, frontend and functional modules makes it possible to work on individual components and progressively introduce new features and integrations without having to redesign the entire platform.
The infrastructure itself follows the same principle: scalability, traffic peak management, payment flow reliability, logging, monitoring and data security are integral parts of the solution. GDPR consent management, server-side validation and the use of secure tokens for ticket access complete an architecture designed to handle sensitive data and operations in a controlled environment.
Not simply a booking system, but a proprietary digital infrastructure on which Touring Club Italiano can continue to build and evolve its event experience.
